GoldBox Views
1. Assuming that you have not done this already, go to http://www.redstonesoftbase.com/index_00000a.
htm/VU01AARK.ZIP and Save the file to your GoldBox root folder. Then, with GoldBox CLOSED, UNZIP the file
to the same location.
2. By default, GoldBox will create a new folder under your GoldBox root named aHistEml when you do step 3.
3. Open GoldBox and wait until the new files have been assimilated. Then go to Setup | History / Email
ARCHIVE. (These instructions assume GoldBox 5 (dBase). Other versions are identical, except as noted).
4. Click the Create a NEW Setup radio button, then Next.
5. You can use any LaunchID that is unique and will fit, but I'll just use TEST. For the Description, I'll use
History E-mail Archive. Press Finish.
6. Fill out the form that appears as I'm showing you below (in the thumbnailed graphic), with 3 possible
exceptions:
a. The paths (which must be your own);
b. Click the Filter button and change the date shown to the date of your choice. You can even add additional
filter criteria if you want (must be a valid dBase expression).
C. You can check as many additional checkboxes as you want (near E-mail Messages). Keep in mind that
you'll eventually be removing ALL History that is indicated, according to your filter.
Once the Setup is configured, you can press the RUN button. It will create the Archive tables, but because of
the way it's configured, it won't delete the data from GoldMine. For that, see the IMPORTANT note at the end of
this article.
7. Press the "Configure VU01AARK for a VIEW of Archived Data " button. This will
reveal a set of directions that you must follow; this will involve closing GoldBox;
downloading a file; unzipping the file; and re-opening GoldBox.
8. When you do reopen GoldBox, return to the same Setup Screen. Press the
"Configure VU01AARK for a VIEW of Archived Data " button again. This time, it will
perform some operations, and then take you to a Launch ID screen. Your objective
here is to assign a LAUNCH ID to the new GoldBox View that has just been
assimilated. The letters VU will already be supplied; as shown below, I added HEMA to
that.
When you click the FINISH button to close the Launch ID screen, GoldBox will return
you to the History / E-mail Archiver Setup screen, and then close it.
9. The final step in making the View accessible for later (once you've archived your
data) is to open the View Setup (which will be the second item of the four most-
recently accessed Setups on your menu. Open that setup and find the clipboard
button at the top right of the screen. Click it; this will open a dialogue box, in which
GoldBox has pre-figured a number of launch strings for you. Press Ctrl-C while the top
selection is highlighted; then close the dialogue. Open Notepad and paste in what you
just copied (probably unnecessary, but ensures that you don't lose it).
10. If GoldMine's Task Bar is not already open, open it under Window.
11. You may want to create a new Taskbar Group for GoldBox operations; that's your
call.
12. In the Taskbar Group of your choice, create a new shortcut by:
a. Right-click | Add new item
b. From the Item Type menu, select Outside Application
c. At Command Line, past in what you saved from the clipboard dialogue.
d. At Caption, put "Archive..." (however you want to describe it).
e. At Application, select (under GoldBox root) the VGX5.EXE (But if using GXSQL, use
VGXQ,EXE, and if using GX7, use VGX7.EXE)
That's it for the View.
Because of the way it's been set up, the first run of the Setup did NOT remove the History or E-mail from
GoldMine. This is so you can use the View to check out what will be deleted from GoldMine.
IMPORTANT: when you are ready to do the archiving "for keeps", do the following:
a. DELETE every file in your ARCHIVE folder.
b. Make any changes to checkboxes and the filter that need to be made.
c. UNCHECK the "EXPORT only - NO Delete" box. Then run the Archiver.
MORE ABOUT THE VIEW: The GoldBox View used to enable you to see the archived data is designed to
operate while GoldMine is open, in a certain way. When you open the View, it asks GoldMine for the
Accountno of the record that is active, and the View displays the data that has been archived for that Contact
(including, perhaps, data for Additional Contacts attached to that Accountno). If no data has been archived for
a particular Accountno, a message will display stating that no records were found.
By making a few changes (usually to a clone of the original View), it is possible to alter the way a View works,
so that it will display all the History (and as applicable, E-mail and attachments) in the Archive; and will
"push" GoldMine to show the GoldMine record that is related to each Archived record. Contact me for details
